| Planning an event or party can seem like an overwhelming task, but it doesn’t have to be. All it takes is a little organization, a bit of time, and a short list of tips from the pros to help get you on the right track. Here we’ll give you some inside tips of the trade to make your job a bit easier. What to organize first: Think of the type of event you’d like. Pick-up, drop-off or fully catered? Will it be during the day, or at night? Afternoon, and late night affairs usually require less food because your guests will probably have already eaten a meal. Anything around a typical lunch or dinner time will require a proper portion size for that time of day. Will it be formal or casual? Buffet, appetizer, or sit-down? Will you need servers to pass appetizers, and help keep your party running smooth? Plan the event in your mind, and write down notes to take with you to the caterers. Pick a venue or spot to have your event, whether it be in your home, a rented hall, backyard etc. Choose and secure a date. Do take into consideration, time of year and if it will be outside, you will need some sort of back up shelter (tent etc) in case mother nature does not want to cooperate. Create a realistic budget of what you want or can afford to pay per person. There are ways to keep costs down, but that usually requires a bit more legwork from the hosts of the party. Depending on the type of food and time of day, most caterers can accommodate any budget. You must go into the budget phase with an open mind. The best frame of reference for budget planning would be to think of it as going out to dinner with family and friends, and picking up the tab. But, without all of the hassle and being able to have it exactly how you've planned. And remember price does not always dictate quality. Some caterers don’t make everything from scratch…Ask if they do! Finding a good caterer: Ask around! Often time the best advice is from those who have recently hired a caterer. Think back to catered events you’ve been to…what did/didn’t you like? Call and ask the host for that caterer’s name and number. Ask to see pictures of past events, and references. Some caterers provide phone numbers of past clientele, others prefer to keep clientele lists private, in that case ask for letters of reference. Ask questions…
You wouldn’t knowingly eat out of an un-inspected restaurant kitchen, and your guests shouldn’t either. Is the caterer a full service caterer? Do they just provide food, or can they provide you with rentals, tents, servers, etc. A good way of keeping costs down is taking on a bit of this type of work yourself. Just like your time is worth money, your caterer’s time is also. If you can do some of the rental planning, and set-up yourself, you may be able to cut a few corners this way. It all depends on the amount of time and money that you can devote. Most caterers will be more than happy to help with or do all of the planning for you. It’s all up to you.
